Greysteel, a rapidly growing real estate investment services firm with offices across the United States, is presently seeking a dynamic, Assistant Transaction Coordinator who can work closely with the Transaction Service Center in support of all production related tasks.
- Effectively prepare, assist with and track proposals and other marketing collateral from concept through completion - Compose, edit and create graphic materials including Broker Opinion of Value (BOV) within Buildout System, coordinating/creating post card mailings and email blasts, plans and coordinates presentations/events, and assists with press releases and any other needs related to marketing campaigns - Coordinate, track, and support office pipeline, development, and marketing activities - Prepare and complete client communication materials - Assist in the coordination of special events and marketing mailing campaign efforts - Help lead and coordinate compliance efforts for DC Multifamily TOPA requirements - Design schedule and coordination of meetings, events and project schedules to enhance success of meeting deadlines; general marketing-related administrative duties. - Onboarding assistance /support answer questions, new-hire training - Contract management including the timely administration of documents, letters, agreements, and mailings - Maintains company database including adding or verifying all contact information, updating listing pipeline and property databases to ensure orderly files and accessibility - Ensures all listings are properly displayed on all necessary websites and/or advertising outlets, Company website, internal databases, etc. - Others duties as assigned
Bachelor’s degree 1-2 years of administrative experience in a fast-past corporate environment Experience in commercial real estate and/or fast-growing startup a plus. Proficiency with PC & Mac OS: Adobe Creative Suite (InDesign, Illustrator, Photoshop, Acrobat); PowerPoint and Word Experience a plus. Acquainted with the latest design trends and practices. Excellent communication, time management, organizational skills, and attention-to-detail. Ability to handle aggressive deadlines and work on multiple projects/tasks with minimal supervision. - Superior written and verbal communication skills. - Ability to take ownership of and accountability for projects/tasks and work both individually and as a part of a team. - Ability to delegate, manage, and coordinate projects and tasks. - Ability to identify and recommend modifications to existing policies/procedures to improve performance/efficiencies. - Independent thinker who will be proactive, assertive, and professional in dealing with internal/external clients, lenders, and third-parties. - Strong problem solving skills.
